  • The Forensic Read™ is the firm's methodology for reading regulatory, vendor, and institutional documents as evidence. The method undergirds all readings in the engagement. Its four stages:

    • READ maps the document ecosystem.

    • TRACE tracks how obligations shift between documents.

    • SURFACE identifies what the documents assume or obscure.

    • BUILD produces the governance record.

    Documents are read for function: what the language obligates, who carries it, who is named, and who is left out.

    • The district sets its preferences on the retainer preferences form: term, cadence, scope, and signing officer.

    • The firm writes the engagement agreement from those selections, and the signing officer signs.

    • The district completes the Scope Submission and Attestation: it submits the in-scope tool list, the agreements, and the notification policy, and attests that the set is complete and accurate.

    • The firm seeds the registry from what is submitted and records the start date.

    • The seeded registry marks the engagement live, and current records begin on the chosen cadence.

  • The agreement follows within 48 hours of the preference form. The engagement goes live when the agreement is signed, the purchase order is issued, and the district has completed the Scope Submission and Attestation. The full fee is encumbered by the purchase order at signing. The first installment is invoiced at start, with remaining installments billed quarterly, each due NET-30.

  • Vendor language calls for a regular reading for what it assigns, distributes, or obscures. Preparation for parental complaints, audit findings, and breach notifications all center around the district being able to confidently name who read the documentation, what that person found, and how the district acted on those findings. A floating compliance document and AI software can't hold accountability. There is no one behind either.

    The Named Reader Retainer puts a credentialed human on the line where the accountability has to sit.

  • For the term of the engagement, The Language Firm is your district's named reader of record. Your new agreements, your renewals, and your trigger events come to a named reviewer who reads the language forensically, records what was found, and signs the finding. That name enters your governance file. When anyone asks who reviewed it, you point to a person, a date, and a documented read.

  • The retainer is held by the senior district leader with authority to sign for the LEA. This is most often the superintendent, but depending on the state and district may be an assistant or deputy superintendent, an executive director, or another officer who can bind the district.

    That officer is the buyer and the signer of record. The CTO or technology director, the director of federal programs, and the data privacy officer route documents and apply the findings. Where a district uses board oversight, the board chair countersigns at the term against the posture summary.

  • The in-scope tool list, the agreements to be read (contracts, DPAs, privacy exhibits, acceptable use policies), the district's parent-notification policy, any incident notice it receives from a vendor, and, for a prospective tool under consideration, the vendor's press and marketing materials and any stated safety or data-handling claims.

  • The district selects the term length, the determining factor of the price of service:

    • 3 months - $5,000.00

    • 6 months - $9,000.00

    • 12 months - $14,000.00

    The district sets the cadence for receiving current records (the registry, findings memos, and posture summary):

    • Weekly

    • Every two weeks

    • Every three weeks

    • Monthly

    The chosen cadence holds for the full term. All cadence options are included in the chosen term price.

  • The district works from a dedicated Dropbox folder. It uploads the in-scope list, the agreements, the parent-notification policy, prospective-tool materials, and any incident notice. The named reader returns every deliverable to the same folder, as signed PDFs carrying the reader and date.

    Access is limited to the named district contacts and the named reader. The full record stays in the folder for the term. The documents exchanged are vendor and governance documents, not student records.

Unpacking the Retainer

  • 1) Product Inventory

    The district identifies the tools in scope that intake student data. The retainer builds a registry of those tools if the district does not already have one or as a companion to what is already present. Each entry records the tool, its vendor, the student data it touches, the building or program using it, what the signed agreements are, and where its signed agreements live within the district’s system. Every read is filed against an entry in the registry.

  • 2) New-Tool Intake Reading

    Before the district signs a new agreement, it comes to the named reader and the tool is added to the registry. The reading returns a decision statement: proceed, proceed with conditions, or do not proceed, with the governing language and The Forensic Read™ findings cited.

  • 3) Renewal Readings

    When a contract enters its renewal window, the language is read again against current federal and applicable state requirements. The tool’s registry entry is updated. If the tool’s policy language has changed from the original signage, a findings memo will accompany the updated decision statement.

  • 4) Monitoring and Activations

    Once the in-scope list is set, the named reader monitors those tools for the duration of the engagement for vendor model changes, regulatory changes, and overall drift signals affecting the listed tools or their providers. When the district receives an incident notice from a vendor, it forwards the notice to the firm.

  • 5) Activated Re-readings

    When a vendor makes relevant tool or policy changes, a regulation takes effect, or an incident occurs, the action activates a re-reading of affected agreements within the retainer. The registry identifies which tools were affected along with the tool’s method of activation.

  • 6) Parent Notification Flags

    When a read or activated re-read event meets the district's stated parent-notification policy, the district is notified that parent communication is warranted. The flag cites the basis: the district's policy, the firm's recommendation, or both. On request, the firm drafts the communication for the district's review and sending. Drafting is included in the retainer. The decision to send remains the district's.

  • 7) Findings Memos

    Each activated re-reading produces a findings memo carrying the named reviewer, the date, parent communication when applicable, and the disposition. Memos file alongside the updated registry and the underlying agreements. Findings memos will accompany renewal readings when applicable.

  • 8) Current Records

    The registry, the findings memos, and a posture summary are shared with the district on a regular cadence through the term. Each summary states what is in the registry, what was read since the last summary, what was found, and what remains open. The district holds current records throughout the engagement. Cadence is defined by the district.

  • 9) Closing the Engagement

    At the close of the engagement, the district receives a signed closeout summary: the registry at close, everything read during the term, and the open items it carries forward.

    The named reader is the reader of record only for documents read during the engagement. Anything arising after the close falls outside the engagement unless the district enters a new engagement.
